In project management, finding the right tool can feel like a never-ending search. With countless platforms out there, each with unique features, pricing, and support, narrowing down the choices can be tough. One platform that’s gained traction - particularly with agile, growth-minded teams - is ClickUp.
ClickUp markets itself as an all-in-one solution, promising to streamline work across every team and project type. It’s flexible, visually appealing, and packed with features that aim to reduce the need for multiple tools. But is ClickUp the right fit for every team? Here, we'll break down who benefits most from ClickUp’s dynamic setup and when an enterprise solution might offer the features and support needed.
Why ClickUp Stands Out
ClickUp’s popularity with startups, smaller businesses, and rapidly growing teams isn’t accidental. Its intuitive design and robust feature set allow teams to hit the ground running without getting bogged down in complex configurations. For teams that need to adapt quickly, ClickUp offers real advantages, including:
- An accessible UX that’s modern and user-friendly, helping new users get up to speed fast.
- Comprehensive task management tools that bring together docs, tasks, time tracking, and goals in one place.
- Constant innovation with frequent feature updates, keeping pace with user feedback and new tech.
ClickUp combines the essentials of project management with the flexibility of a custom workspace - ideal for teams that need to keep costs low while maximizing productivity. It’s especially effective for teams prioritizing speed, agility, and ease of use over extensive customization and support options. We love using ClickUp at Hydrant because we fit this profile.
When Enterprise Solutions Make Sense
Now, if we’re talking about large enterprises with complex, cross-functional teams, ClickUp might not be the immediate choice. Why? Because larger organizations often need features designed to support thousands of users, higher compliance standards, and complex permissions settings.
Enterprise-grade solutions like JIRA, ServiceNow, or Adobe Workfront come with a suite of tools specifically geared toward large-scale operations:
- Security and compliance controls to meet strict industry regulations.
- Advanced reporting and data analytics for robust oversight and decision-making.
- Dedicated IT support to ensure that issues are resolved efficiently.
JIRA and ServiceNow may lack ClickUp’s ease of use, but they excel in delivering consistent, enterprise-wide processes that larger organizations require. If your business is tech-heavy, requires integration across multiple departments, or needs deep compliance and security support, enterprise tools could be worth the investment.
Choosing the Right Tool for Your Team
The best project management tool comes down to one question: What does your team need most? For companies looking to move fast, stay agile, and keep budgets in check, ClickUp is a powerful solution that combines flexibility with affordability. But for organizations prioritizing compliance, security, and complex support, enterprise-grade solutions bring peace of mind and consistency.
In the end, there’s no one-size-fits-all answer. What works for a tech startup might be overwhelming for a small business, while what works for an enterprise could be overkill for a smaller team. Taking a moment to evaluate your team’s goals and constraints can help you decide whether ClickUp’s all-in-one approach or an enterprise-focused platform better aligns with your needs.

0:01 Hey and welcome to my channel. Today I'm going to go through why would you use ClickUp. This is a topic that comes up a lot so by the end of this you're going to understand when you would want to use ClickUp or when you would want to use other solutions that are out there in the marketplace.
0:16 First of all, why would you listen to me? I'm a project manager over 15 years experience. We do primarily software development but we help a lot of folks with project management and setting up click up because it's a great system and a lot of people love it.
0:31 So I just thought I would share that with y'all and let's get into it. So first, why would you use ClickUp?
0:41 I think ClickUp is going to be better for probably like smaller teams that are moving quickly. Um, ClickUp has even positioned themselves as like small to medium sized businesses.
0:52 So if I go to ClickUp.com and it's going to take me to my space. Uh, if we go to like ClickUp.com, uh, .
1:00 .com slash pricing. I know I can always get to their website that way. Um, it's interesting because they, uh, are, they can do enterprise.
1:11 Like, I think they actually work with a lot of enterprise. We've interacted with clients on an enterprise ClickUp instance. Um, but they do market themselves more for probably like small and mid sized teams.
1:22 Um, and the reason why that is I think is like, if you are, if you don't have a large IT support organization, Um, it, maybe you're a little bit conservative on budget.
1:35 Maybe you just want to like, get into it and do it quick. Um, but then there's this kind of thing here, which is like, ClickUp has probably the most modern user friendly interface.
1:44 Like, I think that's actually just true. Um, it's not legacy software. It doesn't feel like legacy software. Yeah, there's a learning curve to get into it.
1:52 But, um, it's, it's very fast. The implementation is quick. They're constantly rolling out new features. They do sometimes roll out features before they're ready.
2:00 But that's because it's a more innovative product. Um, on the other side of things, why would you want to use an enterprise solution?
2:07 So service now, or JIRA, or Adobe Workfront, they're going to be more suited for larger organizations with more complex compliance needs.
2:16 So it's like, if we pull up JIRA, um, okay, this is a landing page, but it's, you know, it's like, you can even just tell looking at it.
2:29 It has a more legacy. . I don't know how else to put it. Uhm, it's, it's more proven, it's been around longer.
2:37 You can see they're talking about enterprise customers. They have a lot of technical support. Uhm, they have other kind of like versions of the product, like Trello or Confluence is great, too, for documentation.
2:48 Uhm, and it's just like a popular tool, um, for more enterprise space. I think also security is a big thing here, like, you know, JIRA, another enterprise solution.
3:00 I good day. Options are going to be more security compliant. They're going to have a little bit of that stuff going on.
3:06 Uhm, oops. And then let's go to, I think also, uh, deep enterprise system integration is another one. So if you're really a technology-focused business, um, you're going to be setting up a JIRA instance across multiple teams, especially if you're doing continuous delivery.
3:29 Um, you're going to have a problem. . Proval workflows. You're going to need audit trails for legal protection. Um, and then you're going to want that dedicated IT support.
3:39 Like, this is one advantage. Like, click up has customer support. It's, I would call it good. I would not call it great.
3:46 Um, and it may be different if you're on an enterprise plan, um, where you can negotiate or have terms for better customer support.
3:54 But I think, um, that is an advantage of a more established organization. Um, yeah, enterprise-grade support agreements. . So I think if you, there's kind of two buckets here.
4:04 There's a Venn diagram probably. So choose, click up. If you're looking for speed and agility, budgets of consideration, you're smaller than 500 people that are going to be using it.
4:13 Flexibility is more important. You want click of a plantation and you really love that modern UX. If you want enterprise on the other side of things, maybe you're more concerned about compliance.
4:23 Your, you want to have standardization across the entire enterprise. That's a big one. Deep integration with your existing systems. Uh, high security, you have in-house IT resources for support, help tickets, that kind of thing.
4:36 And you're allowed to pet, you know, you have better budget. So hopefully this is helpful. You can see like why click up versus why a more, you know, enterprise grade solution.
4:45 Um, I'll say we've worked with a lot of enterprises around software development and project management. And we see sometimes an amalgamation of many systems.
4:55 I've seen enterprises that have Monday. They have people of notion. People have click up. People have JIRA. Thank your time.
5:01 It's all over the place. And that actually causes a lot of confusion for an organization. So here's my tip. Um, if you're a technology leader at a large business, choose one lane.
5:12 Choose one lane and force people into it. I think you're gonna be better off. You're gonna have to have the confusion between all these different tools.
5:19 Um, the standardization is really important for process congruency in an organization. Anyways, thanks so much for watching. Again, I'm Jed.
5:28 I'm with Hydrant. Um, So, thank you so If you want help with ClickUp, we have this punch card. It's a great little product.
5:35 And we can come in and help you use ClickUp. Also, um, it really helps if you want to hit a subscribe here on our channel.
5:44 Um, or follow along. Give us a like. It really helps us out. Knows us, uh, let's us know what content is more important than other.
5:51 So thanks for watching. Alright, bye.
